Smart Hospital Initiative: Enhancement project of storeroom management and restocking procedure in an Oncology ward

Introduction :
Various medical items have been stocked in the Oncology ward. However, healthcare staff revealed difficulties of locating medical items in the store room. Also, items are out of stock without prior notice to clerk and ward manager have been discovered. Detailed log of medical items allows 1) easier location of medical supplies and 2) maximization of the available space. Therefore, we have designed an enhancement project in storeroom management and restocking procedure.
Objectives :
1. To enhance the retrieval of supplies in storeroom 2. To minimize time in searching the items 3. To enhance the restocking procedure in a e-smart way
Methodology :
A work group was formed including ward manager, nurses and clerk. The shelf were labelled by Alphabet A to H and layers using number 1-7 respectively. After that, a stock list was generated and a storeroom map of medical items with source of items, ERP/bigboxx code and location codes was displayed. On the other hand, in order to facilitate the restocking procedure, we created a Google form for colleagues to report items which are nearly out of stock. We posted a 2D QR code in store room and treatment room for colleagues to scan, along with bookmark on ward’s iPad. Once the form has been filled by colleagues, it automatically send an e-mail notification to clerk and responsible nurse. A push notification will be appeared in ward’s iPad and work phone of responsible nurse for reminder. When the medical item is successfully ordered, clerk or ward manager will confirm in Google Sheet for close loop communication.
Result & Outcome :
Staff including nurses, clerk and healthcare assistants were satisfied and showed appreciation in terms of facilitation of faster retrieval of medical items and speedy restocking through e-smart way.
