Introduction :
SMART Hospital facilitates intelligent workplace and modernized healthcare, enables healthcare professions to acquire rapid and accurate patient data. In March 2021, the first oncology ward in United Christian Hospital (UCH), 3BON ward, was invited to use Smart Systems developed by HOIT, including Electronic Vital Signs and Smart Panel. Electronic Vital Signs allows nurses to upload vital signs directly to electronic patient record for healthcare providers to read vital signs online and anywhere. Smart Panel replaced traditional bed signage.
Objectives :
To empower all staff to use Electronic Vital Signs and Smart Panel. To ensure all staff comply with the systems’ regulations, and to use the systems safely and correctly.
Methodology :
The ward is a pilot site for the Smart Systems in UCH. Oncology nurses formed an IT team to facilitate the adoption of the systems in 3BON. Assets were purchased and installed. In-house training protocol and cue-cards were developed by IT team after trials to facilitate staff training in using the systems. Paper forms were modified to adapt the paperless environment. Data-set of systems were tailor-made to suit 3BON ward characteristics. Mini-lectures, demonstrations and return demonstrations in ward were performed to ensure all staff were well prepared. Doctors, allied health and other healthcare providers were informed and given demonstration of the piloting systems in 3BON. Evaluation was carried out after pilot and trial. Feedback and suggestions were sent to related organizations. The systems are promoted to the hospital level in 2022. IT team was also invited to share Smart Systems adoption experience to other departments and wards in UCH.
Result & Outcome :
Since piloting in May 2021, all 16 beds have been equipped with Smart Systems. All Oncology nurses (24) in 3BON were trained. All (100%) of oncology staff passed return demonstration and audit. Online questionnaire evaluation was conducted in September which showed 90% of staff were satisfied with the Smart Systems. The training was useful in facilitating nurses and PCAs to adapt to the new systems. Nurses reported that the systems are clear and easy. The auto-charting in Electronic Vital Signs enabled nurse to have a time-saving, convenient and accurate documentation. The documentation was paperless and stored in CMS, allowing healthcare providers to retrieve records easily. In future, we will run Smart Systems in 2 new oncology wards and chemotherapy day centre. The adoption of Smart Systems significantly supports the future development. In conclusion, we have created intelligent workplace and modernized healthcare through this project.
