Introduction :
In Hospital Authority’s Strategic plan 2022-2027, HA is adopting more “Smart” elements. One of the goals is to nurture smart workforce. Thus, we are taking steps to drive a digital workplace to reduce manual processes and paperwork and most importantly to improve convenience of staff. Some areas are identified for improvement, aiming to utilize available software to establish more efficient and friendly environment for staff.
Objectives :
(1)To utilize available software to establish more efficient and friendly way for staff to request duty (2). To increase efficiency for ward managers to handle duty request (3). To allow staff to access to digitalized preference book and equipment’s quick guide to facilitate theatre preparation (4). To enhance communication among shift and team In-charge during handover using virtual meeting
Methodology :
Plan- do -check- act cycle was adopted to initiate and monitor these new measures.
(1) A need to modify the duty request was identified, with the use of online platform, staff are allowed to submit request before deadline through QR code. Staff request is kept private as only ward managers can access the report and arranged duty based on record generated by online platform. Monitoring of application and statistical data could be easy retrieved by ward managers.

(2) Preference book and quick guide aid staff to prepare consumables and theatres. With electronic versions uploaded to OT SharePoint, they can access through desktops and tablets without looking for hard copies. Staff can scan the QR code attached on equipment if they need to refer to quick operation guide. It can minimize time in locating documents attached to machines. It is also more convenience for team In-charge to update the content of the preference book and quick guide.

(3) “Zoom” is adopted to host virtual meeting for daily handover since 10 Feb 2022. It enhances the use of ‘Handover calendar’ which was developed a few years ago, for shift In-charge to handover key day-to-day activities, equipment arrangement by just sharing the screen. It promotes the communication as sharing of information could be performed at everywhere.
Result & Outcome :
Small steps towards a digital workplace and colleagues were well adapted to these electronic platforms. Comments from colleagues were positive as these new measures were easy and convenient to use, which would further increase their acceptance to electronic workplace.
